1. Who is responsible for your information
Catprints and Signs, based in Paarl and serving Wellington and the wider Boland, is the responsible party for the personal information we process through our enquiry channels and day to day business dealings. In some cases, Astros Marketing (Pty) Ltd acts as an operator on our behalf and may process information only in accordance with our instructions and applicable law.
We collect and use personal information for lawful business purposes, including quoting, artwork checks, production updates, delivery arrangements and after sales support. We only process information that is needed for the service requested, and we take reasonable steps to keep it accurate and up to date.
2. Information we may collect
The information we collect depends on the service you request. For a business card order, for example, we may need your name and company details. For a vehicle wrap or safety sign, we may also need measurements, installation notes and site information. Some information is given directly by you, and some is collected when you use our enquiry form or communicate with our team.
- Identity and contact details, such as name, company name and address
- Service details, artwork files, order specifications and job instructions
- Billing and account records, where relevant
- Technical information such as browser type, pages visited and enquiry form data
- Any additional information you choose to provide for quoting or production
We do not seek unnecessary personal information. Where a special request requires extra details, we will only use those details for the specific purpose for which they were supplied.
3. Why we use your information
We use personal information to manage enquiries, provide quotes, confirm artwork, manufacture signs and printed products, arrange installation or collection, and maintain normal business records. We may also use information to comply with legal obligations, resolve disputes, prevent misuse of our services and improve our internal processes.
- To respond to enquiries and requests for quotations
- To prepare artwork, prepress files and proofing communications
- To produce, install and service signage, prints and vehicle graphics
- To manage invoicing, payment follow up and account administration
- To meet tax, safety and record keeping duties required by law
We will not use your information for unrelated purposes without a lawful basis. Where consent is required, we will ask for it first. If the law allows us to rely on another basis, we will only do so within the limits of that law.
4. Sharing information and third parties
We may share personal information with trusted service providers who help us run our business, such as operators, production support services, courier services, installation partners and professional advisers. These parties may only use the information for the work they do for us and must handle it with appropriate care.
We may also disclose information where required by law, court order, municipal regulation or other valid legal process. This can include matters linked to signage compliance, safety requirements, property access or tax administration. If information is shared outside South Africa, we will take reasonable steps to ensure that it remains protected and is handled in line with POPIA.
5. Security, retention and our practical safeguards
We use reasonable technical and organisational measures to reduce the risk of loss, unauthorised access, misuse or alteration. These measures are reviewed from time to time and are applied according to the nature of the information and the way it is used in our business. While no system is perfect, we make a practical effort to protect what we hold.
- Access control for internal team members who need the information for work purposes
- Controlled storage of order files, artwork and customer records
- Regular review of production records and deletion of information that is no longer needed
- Careful handling of customer data during quoting, printing and installation
We keep personal information only for as long as needed for the purpose it was collected, or for as long as the law requires. Some records may need to be kept for tax, warranty, dispute resolution or compliance reasons even after a job is complete.
6. Your rights under POPIA
You have rights regarding the personal information we hold about you. Subject to applicable law, you may ask us to confirm whether we hold your information, request access to it, ask for correction of inaccurate details, object to certain processing, or request deletion where it is legally permissible.
If you believe your information has been used incorrectly, or if you want to update details on an existing file, please use our enquiry form on the contact page and give us enough detail to identify the record. We may need to verify your identity before acting on the request, especially where the request concerns a business account, artwork approvals or a vehicle fitment record.
By using our services or submitting your details to us, you acknowledge that you have read this privacy policy and understand how we process personal information in the ordinary course of business. We may update this policy from time to time to reflect changes in law or our operations, and the latest version will apply from the date it is published.
